HRAI legal documents: a summary in English
The Hebrew documents are the binding versions. This page summarizes, in plain English, the HRAI privacy policy, terms of use, accessibility statement, cookie policy and data-deletion instructions. It is a summary, not a translation: where it and the Hebrew text differ, the Hebrew text prevails. Each section links to the full Hebrew document.

Privacy policy
What does the HRAI privacy policy say?
Hebrew document last updated · Privacy policy (Hebrew, binding)
- Your employer is the controller of employee and candidate data, not HRAI. Access, correction and deletion requests go to the employer; HRAI operates the software for it and passes on requests within one business day
- HRAI does not sell data and does not train models on it. A full export is available to the organization at any time
- Salary, ID numbers and bank details are blocked on the server for anyone without permission: they never reach that person’s screen
- No marketing without your request: the consent in the contact form is for replying to that inquiry only
- Inquiries from the website are kept for up to 24 months. Employment records follow the retention the employer sets, with a default of seven years from the end of employment
- A connected AI assistant works within four cumulative permission layers, starts read-only, and every action is logged
- Privacy officer: Shai Truchman, [email protected] or [email protected], phone 058-3305473. Acknowledgement within one business day, a substantive reply within 30 days
- The policy is written under the Protection of Privacy Law, 5741-1981, as amended by Amendment 13 (in force since August 14, 2025), and the Information Security Regulations, 2017
- First Export One file with all account data, including signed documents, attendance and payroll reports, readable without the system.
- 60 days Archive The account is closed to use and can be restored until the date shown in advance.
- Then Deletion Irreversible, including backups: earlier backups are not used for restore and are replaced as the backup cycle runs.
Terms of use
What do the terms of use cover?
Hebrew document last updated · Terms of use (Hebrew, binding)
- The account and its content belong to the organization. HRAI operates the software and is not a party to the relationship between the organization and its employees or candidates
- A module that is not active is closed on the server, not just hidden in the interface, including the AI assistant connection
- A payroll file whose critical field is only an assumption is not sent automatically: it is generated for review and held until an authorized person signs off the mapping
- Paid extras are marked in advance: a custom payroll connector, and posting a job ad on the board for non-customers
- End of contract: full export, a 60-day reversible archive, then irreversible deletion including backups. No data lock-in and no waiting period for export
- HRAI is a tool for managing and documenting processes. It is not legal, accounting or employment advice, and decisions made in it are the organization’s
- Liability is limited to the fees for the 12 months before the event and excludes indirect damage; the limit does not apply to breach of confidentiality, malice or gross negligence
- Israeli law applies, with exclusive jurisdiction in the competent courts of the Tel Aviv district
Accessibility statement
How accessible are the website and the system?
Hebrew document last updated · Accessibility statement (Hebrew, binding)
- Built in line with the Israeli accessibility regulations for services (2013), Israeli Standard 5568 and WCAG 2.1 level AA
- The statement is based on internal review and automated tests on every change. An external accessibility auditor has not yet reviewed it, and the statement says so
- Keyboard navigation with visible focus, a skip-to-content link, semantic headings, text alternatives, labeled form fields, text zoom to 200% and reduced-motion support
- Known limits: documents uploaded by organizations, customer-branded job pages whose colors the customer chose, and some admin components such as drag boards and the signature editor
- Accessibility coordinator: Shai Truchman, [email protected], phone 058-3305473. Acknowledgement within one business day and a reply within 7 business days
Cookie policy
Which cookies does the website use?
Hebrew document last updated · Cookie policy (Hebrew, binding)
- Essential storage only by default: your theme choice, your cookie choice, and protection of forms against automated submission
- Usage analytics (Google Analytics 4) is off by default and loads only after you agree; advertising signals are disabled
- Withdrawing consent stops loading on the next pages and deletes the _ga cookies immediately
- The signed-in system itself is not measured and has no advertising or tracking cookies; it keeps only what sign-in and clock-in security need
- You can change your choice at any time from “Cookie settings” at the bottom of every page
Data deletion
How do you ask for data to be deleted?
Hebrew document last updated · Data deletion (Hebrew, binding)
- One message to [email protected] with your name, the organization’s name and your contact details
- Data held for an organization is passed to it and followed up by us; data under our own control is deleted directly
- The WhatsApp connection can be disconnected immediately from inside the system
- Records the law requires an employer to keep stay unattributable, so deletion does not cancel accrued money rights
- Day 0 Request One email with name, organization and contact details.
- 1 business day Acknowledgement You hear back that the request was received.
- Within 30 days Completed Deleted, or passed to the organization and followed up.
Frequently asked
What people ask before they start
Is this page a translation of the legal documents?
No. It is a plain-English summary to help you find your way. The binding versions are the Hebrew documents linked from each section, and where this summary and the Hebrew text differ, the Hebrew text prevails. The summary does not add to or take away from them.
Who controls the personal data in the HRAI system?
When an organization uses HRAI to manage its employees and candidates, the organization is the controller of that database and HRAI processes the data on its behalf, under its instructions and a data processing agreement. Requests about employee or candidate data therefore go to the organization; requests that reach us are passed on within one business day.
How do I ask for my data to be deleted?
Send one message to [email protected] with your name, the organization’s name and your contact details. You get an acknowledgement within one business day and completion within 30 days. Records the law requires an employer to keep stay in a form that cannot be linked to you, so deletion does not cancel money you are owed.
Where is the data processed?
In an on-premises installation the data stays on the organization’s server. In the cloud, the storage location is set in the agreement with the organization, and most subprocessors process data outside Israel, mainly in the United States and the European Union, under contractual commitments described in the Hebrew privacy policy.
